The University of Bremen was the first university nationwide to successfully completeits application procedure for its entire course programme for the winter term2013/2014, using CampusNet® Apply by Datenlotsen. In May 2013 this newapplication portal of the University of Bremen enabled the students to apply online forany of its first term courses. This was the first time that candidates were able tosubmit up to 12 course applications via the dialogue focused service system of thefoundation for university admissions for the University of Bremen. The numbersspeak for themselves: by the time of the application deadline in July more than33,000 course applications had been submitted by around 23,700 people.
CampusNet® Apply is the first tried and tested software for the management of yourapplication and admission procedures and is also suitable for universities that havebeen using HIS-GX-software, offering a reliable connection to the dialogue orientatedservice procedure by hochschulstart.de.CampusNet® Apply is a module of CampusNet® and as such contains all requiredfunctionalities for the efficient management of applications and admissions. Startingwith the required regulations of the different subject areas via the handling of allapplicants and applications all the way up to the admission stage.
With CampusNet® Apply those interested in a course as well as actual applicantshave an easy-to-use web platform at their disposal which leads them through theapplication procedure. The CampusNet® Apply-Client supports the university staffwith all incurring tasks along the way. CampusNet® Apply not only displays theselection process in a secure way, but also allows it to be configured individually,enabling the universities to send off their registration certificates early and thus givingthem a competitive advantage.
Numerous universities are already using CampusNet® Apply. The implementationdiffers from university to university: some will use CampusNet® Apply for theapplication process of their entire course offering - regardless of whether or not theywant to participate with their courses in the dialogue focused service system. Otherswill for now only use CampusNet® Apply for those courses which will be part of theDialogue orientated Service Procedure (DoSP) trial.

Application management
Applicants are able to leave their contact details and course interests on theuniversity's web portal. The university staff has the option to get in contact and sendthem the requested information by mail or post. Stating their specific interests e.g.the desired degree and course. This allows the university to invite the potentialstudents when specific applications are open.
Any type of application procedure
CampusNet® Apply enables the configuration of different application proceduressuch as single as well as multiple. This also includes forecasted capacities andquota-allocations (e.g. admissions from capability and waiting lists, hardship cases,number of foreign students etc.) as well as clearing. For an individual selectionprocess, e.g. performance acceptance tests the relevant parameters such as numberof selection rounds or way of application can be set. CampusNet® Apply visuallydisplays the automated rankings based on predefined factors. Despite thestandardised process CampusNet® Apply takes into consideration the specifics ofthe particular universities and allows manual intervention where required.
Admission and issuance of digital notifications
Once the application process is closed CampusNet® Apply will issue notifications forthe accepted and rejected applicants. Letters of acceptance can be producedindividually or as mail merge for any number of applicants. Thanks to the integrationwith Adobe LifeCycle ES, documents can be generated in PDF format and digitallysigned. They are then either sent off by post or email, or alternatively they can bemade available to download from the portal.

Application procedure
The applicant creates an account on the web portal. Once logged on with theirusername and password the applicants will be categorised with the help of freelyconfigurable questions, the so called "applicant gate". Only suitable course offers,which are configured by the university, are shown. The next step for the applicants isto complete their application forms, which can be saved at any time and continued ata later stage.
Once the applicants have submitted all information, they confirm the transfer of theirdetails to the university. CampusNet® Apply supports the dynamic creation of allforms by considering changing circumstances, e.g. when an additional application isreceived, the portal triggers appropriate system responses to the staff for furtherprocessing. The data supplied by the applicant is then available in CampusNet®Apply and is ready to be compared with submitted documents. Whether or not anapplication is complete can be established with the help of checklists and theinteraction with the applicant can be documented in the application managementsection. The assessment criteria, on which the admission is based, can beconfigured in CampusNet® Apply and assigned to the staff member responsible forthe next steps of the process.
